2. What Data We Collect
We collect different types of personal data depending on how you interact with our Site:
2.1 Contact Form
When you submit our contact form, we collect your name, email address, company name, phone number, and the message you send us. We use this information solely to respond to your enquiry and, where relevant, to follow up about our services.
2.2 Newsletter Signup
If you subscribe to our newsletter, we collect your email address. We use this to send you updates, insights, and news about Voxilytics. We do not currently use a third-party email service provider, but we intend to in future; when we do, this policy will be updated to name the provider and explain how your data is processed by them.
2.3 Live Chat Widget
Our Site includes a live chat widget where you can optionally provide your name and a free-text message. At present, this widget operates entirely within your browser: messages are not stored or transmitted to any server or third party. Should we connect this feature to a live support system in future, we will update this Privacy Policy to describe what is collected and how it is handled.
2.4 Cookies and Similar Technologies
We use a small number of cookies and local storage entries to operate the Site, including a cookie consent preference. Full details are set out in our Cookie Policy.
3. How We Use Your Data
- Respond to enquiries submitted through our contact form;
- Send newsletter updates to subscribers who have opted in;
- Operate and improve the functionality of our Site;
- Comply with our legal obligations.
4. Legal Basis for Processing
Under UK GDPR, we rely on the following legal bases to process your personal data:
- Consent — for newsletter subscriptions and non-essential cookies;
- Legitimate interests — for responding to contact form enquiries and operating our Site;
- Legal obligation — where we are required to retain or disclose data by law.
5. Third-Party Services
Our Site loads certain resources from third-party providers to function correctly:
- Google Fonts — used to load our website typography;
- Font Awesome (via Cloudflare CDN) — used to load icons across the Site.
These providers may process limited technical data (such as IP address) as part of delivering these resources. We do not currently use third-party analytics tools, but if we add Google Analytics in future, this section will be updated and our Cookie Policy will reflect the change.
6. Data Sharing
We do not sell or rent your personal data. We may share data with trusted service providers who help us operate the Site (such as a future email service provider or hosting provider), strictly for the purposes described in this policy, and only where they agree to appropriate data protection safeguards.
7. Data Retention
We retain personal data only for as long as necessary to fulfil the purposes outlined in this policy, or as required by law. Contact form enquiries and newsletter subscriptions are retained until you ask us to delete them or unsubscribe, whichever is sooner.
8. Your Rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you;
- Request correction of inaccurate data;
- Request deletion of your data;
- Object to or restrict certain processing;
- Request a copy of your data in a portable format;
- Withdraw consent at any time, where processing is based on consent.
To exercise any of these rights, contact us at hello@voxilytics.co.uk. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
9. Data Security
We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
10. International Transfers
Where any of our third-party providers (such as Google or Cloudflare) process data outside the UK, we ensure appropriate safeguards are in place in line with UK GDPR requirements.
11. Children's Privacy
Our Site is not directed at children, and we do not knowingly collect personal data from anyone under the age of 16.
12. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. Any updates will be posted on this page with a revised "Last updated" date.
